Color your calendar in Outlook and become more efficient
Work And Study Motivation / / December 19, 2019
If you work in a corporate environment, you will almost certainly linked with Microsoft Outlook. And if you do not work, you could pick it up and on their own despite the fact that the program is quite "heavy" it possible for the organization can not be overstated. But today I would like to speak about only one aspect - the rapid planning using color.
As you can see in the picture, the color I use actively, and I am glad that experts in MS have chosen a set of soft - not hurt the eyes. But back to the point, what are these colorful ribbons?
Tasks can be characterized by several parameters, but in this case I'm interested Context and project (in GTD parlance). To support these fields, you can use the existing field, adapting them (Location, for example), you can add your own fields, but I urge you to use categories.
Why? Because they are well supported in the interface, and is always easily accessible (!) Color-coded. Start the search for projects (you can add some character to indicate that it is a project, for example - #), and a context (@ fits perfectly) and you're ready.
When you assign multiple categories of objects in Outlook noted several colors, it is quite elegant. But for the purposes of rapid and efficient planning, I call to assign the task first project and other categories, and only in the last instance - context.
Why? Go to the calendar - you can see a list of brightened tasks scheduled for today at the bottom. You see where they need to make the color - really cool? In addition, they are arranged in order of follow-up. That is the most overdue tasks are the very first.
You guessed it, we will group tasks by context, not to change it too often. Take the most important task from the list and simply drag the bottom of the calendar "booking" place. Note that every little thing is not necessary to add at the beginning of the day. Focus on the important, small thing you distribute later. In the beginning, create a basic "islands" of problems.
In the performance of small tasks can be added to the calendar after the fact, just to make it easier to review done for the day, week, etc.
Good luck.
